Project Quality Management

Project quality management ensures that the results of the project delivered the client meets or exceeds their requirements as well as meets standards. Quality standards must be determined in the early stages of the project and continues efforts made throughout the duration of the project to follow these.
Quality is the ability of a project or project process to meet determined or implied needs, which are defined by the stakeholders and thus, quality of a project is determined by the stakeholders.

Project quality management begins with a quality plan. This plan states the quality requirements and ensures that activities that do not contribute to the quality of the project are removed. Since quality is continues, the standards at each activity must be checked against the quality plan and those that are found to be deviating brought back to line.

A project quality team can also be of help. Members of this team can be drawn from the project team
or from anywhere but must ideally include the client or a representative of the client.

The following are the processes necessary to ensure the quality of a project:

Quality Definition

To be able to ensure project quality management, there must be a definition of the quality standards that must be met. This definition is done by the various stakeholders and beneficiaries of the project. Quality standards can be derived from the project specifications as well as the needs to be satisfied by the project.

Quality Criteria

The current results of the project are measured on a certain criteria and the quality can be determined by how well they meet the criteria. Measurable criteria of quality may include reliability, consistency, suitability, performance and functionality. These are measured for both processes and deliverables of the project.

Quality Plan

A quality plan is a comprehensive document that is necessary for project quality management. It states the tasks and activities that need to be met to ensure a project’s quality. It also contains a definition of all conditions and standards that need to be met. This document must also include testing requirements and corrective procedures. It also specifies what documents are produced and what records are kept regarding quality audits and procedures.

Quality Assurance

After the quality standards have been determined, the stakeholders must be assured that those standards are being followed and the final delivery will meet the standards. Quality assurance begins at the early stages of the project and involves the scheduling of periodic quality audits and corrective actions determined by the results of the audit.

Quality Control

Quality control can be done at the end of each stage of the project, to ensure that the results meet the requirements. It also involves measuring how well the project meets time, budget and scope requirements. Evaluations are done together with stakeholders and based on the findings they either reject or accept the results. If the results are rejected, actions must be planned to correct what went wrong.

Quality Improvement

The effectiveness and efficiency of the project processes are ensured by quality improvement. This improvement process is used to ensure that quality standards a continuously improved and maintained to much the expected results. It involves identification of the processes that needs to be improved, analyzing them and coming up with solution. These are tested for effectiveness.

As the saying goes “there is nothing as free lunch”, so is project quality management at a cost. These costs are in two parts; costs associated with quality management and costs of failure due to non-adherence to quality standards which will obviously be higher. It is therefore important to ensure quality of projects.
